Ad-hoc File Sharing with External Parties

Need to share sensitive files with external parties?

This is the core use case for e-Share...users needing to share sensitive files with outside parties as part of their day-to-day activities . In many cases the files to be shared are in the user's cloud file storage (e.g. OneDrive) or in their team's shared file storage (e.g. SharePoint). These files can be shared in-place, with no copying of files. But files can be shared from any location. If they are not already in cloud file storage, they can be shared using e-Share's Windows and MacOS client, which adds menu extensions to File Explorer and Finder respectively. In this case e-Share will automatically place the shared files in the users cloud file storage (e.g. OneDrive) and create the "Trusted Share" for the recipient(s). And our Add-in for Outlook and our Bot for Microsoft Teams allows file sharing via email attachment (attachments become links and are stored in the users cloud file storage) and from within Teams.

    Secure Email for Secure Collaboration

Do your users default to email to share files...do you have mass emails to secure?

Though e-Share can fully satisfy compliance-driven requirements to protect both the body and attachments of emails containing sensitive data, what sets us apart is our ability to optionally protect just the attachments to an email and apply rights management upon their access...with nothing required of the recipient other than a web browser. This allows the use of email to kick off a productive, dynamic and secure collaboration with outside parties. For example, a contract can be shared for online viewing and redlining. An email can even trigger the creation of a Virtual Data Room, allowing files to be bidirectionally shared via the VDR using links, not actual file attachments. We can also protect attachments and report on their usage as part of an email campaign, where a common email is sent to multiple users. This reporting includes whether the attachments were opened, which pages were read, and how much time the recipient spent viewing each page.

Virtual Data Rooms for M&A and Partner File Sharing

Do you have a need for bidirectional file sharing or have bulk files to transfer?

Virtual Data Rooms usually require IT to set up and configure, as is also the case with sFTP for file transfer. With e-Share a VDR can be easily initiated by even the most non-technical of users, with whatever participant rights you desire by choosing from the available org-defined file sharing policies. Plus our Secure Conversations feature allows participants to have a secure conversation around the shared content, exchanging comments and in-effect annotating the VDR contents. This conversation exists outside of an email exchange. A VDR can be set up by simply sending an email, with or without an attachment, with an appropriate sharing policy being selected using e-Share's Add-In for Outlook. In this case e-Share automatically creates a folder within the users cloud file storage to store any email attachment(s) and receive any uploaded files for the VDR participants.

File Sharing into China & Highly Regulated Organizations

Are your file sharing links being blocked? They may be without you knowing.

Because cloud file storage and sharing services, including OneDrive, SharePoint Online, Box, Dropbox and Google Drive, are often used to launch phishing attacks, many highly-security conscious organizations, especially financial institutions, block all links to these services. The Great Firewall of China is also well known to block these links. So how can your users be confident that their OneDrive links, for example, are actually accessible by the external parties they are seeking to share files with? They won't know until the outside party tells them they can't access the shared file. And often this leads to your users attaching the file to an email, giving the data away for all time and losing all ability to co-author the shared document. Because e-Share's service operates on a subdomain of your organization (e.g. share.your-org.com), the links to shared files will not be blocked...even though the file is stored in your cloud file storage. e-Share proxies recipient access to your shared files via e-Share generated links that use your subdomain, which is highly unlikely to be blocked.

    Digital Transformation of File-Based Workflows

Do you want to secure the collection and/or delivery of sensitive documents directly from into/from your enterprise applications?

All aspects of the e-Share system are accessible via our REST-ful API's, making it easy to automate the sharing of files from within your enterprise applications, or to receive files into your applications and file-based workflows from clients, partners and suppliers. The shared files are stored in the cloud storage of your choice (Azure blob storage is also an option) and made available to recipients via links contained in email notifications. Integration can also be achieved via SMTP, with emails generated by enterprise applications being replaced with links. Learn more about our API and integrations with enterprise applications here.
